** Job Summary: **
As a Customer Service Representative at Pat's Automotive, your primary responsibility is to provide exceptional customer service and administrative support at the front desk to ensure the smooth operation of our busy East Rochester shop. You will be a vital part of our team, upholding our company values and mission while assisting clients, maintaining office cleanliness, and following established procedures.


The ideal candidate is a high-energy individual with excellent organizational skills, strong attention to detail, and the ability to communicate effectively in both written and verbal communications.

 

** Key Responsibilities: **

1. ** Customer Service: **

   - Greet clients over the phone and in-person with kindness and politeness.

- Assist clients with their inquiries and needs in a friendly and helpful manner.

 
-  Schedule appointments for customers, with attention to shop capacity.

- Follow  guidelines and procedures provided for consistent service.

 

2. ** Office Maintenance: **

   - Maintain a clean and inviting office environment.

   - Ensure the bathroom is clean and well-stocked.

3. ** Teamwork and Support: **

   - Collaborate effectively with team members and support their tasks when necessary.

   - Foster a positive and cooperative work environment.

4. ** Adherence to Company Values and Mission: **

   - Uphold the values and mission of Pat's Automotive in all interactions and tasks.

5. ** Process and Procedure Adherence: **

- Follow established processes and procedures in our employee handbook

** Qualifications: **

- Strong interpersonal skills with a friendly and positive attitude.

- Excellent communication skills, both verbal and written.

- Detail-oriented and able to follow processes accurately.

- Ability to work well in a team and provide support to colleagues.

- Basic computer skills and proficiency in office software.

- Willingness to learn and adapt to changing circumstances.

- Previous customer service or administrative experience is a plus.

** Working Conditions: **

- This position primarily operates in an office environment.

- The role will require constant interaction with clients in a professional and courteous manner.

- You may need to stand, walk, or sit for extended periods.

 

** Schedule: **
A full-time schedule for this position is
5- day work week- Monday - Friday 8 hour shifts
OR
A 4 day work week - 10 hour days

If candidate prefers part-time hours, those could be determined.  We are looking into transitioning to a four-day work week for employees that are interested.

Responsibilities:

  • Field inbound communications - Answer phone calls/general email inquiries and route them to the appropriate internal parties as needed.
  • Coordinate scheduling - Schedule appointments for customers, with attention to shop capacity.
  • Organize internal resources - Build out and maintain processes to keep files and office supplies organized and easily accessible.
  • Liaise with visitors - Act as point person for office guests.
  • Communicate updates with Service Advisor team and customers throughout the day
  • Facilitate executive-level operations -Help the Service Manager organize the flow of the day
  • Help Service Manager- Track incoming parts and returns.
  • Arrange payments and coordinate pick-ups with customers when the repair work is complete.
